Exact-match terms from the job description: core processes (month-end close, account reconciliation, journal entries, variance analysis), the accounting framework (US GAAP, IFRS, or ASPE), and named software — QuickBooks, NetSuite, SAP, Sage Intacct, CCH Axcess, CaseWare, and Excel functions like pivot tables and XLOOKUP. Spell out both the phrase and the abbreviation (“accounts payable (AP)”) so you match either search, and mirror the posting's wording — if it says “general ledger accounting,” don't rely on “GL work” alone. Keywords belong in your experience bullets, not just a skills list, because context strengthens both parsing and human review.

Titles vary by employer and country, and recruiters OR-search several at once. US industry roles use Staff Accountant, GL Accountant, and Senior Accountant; public accounting firms use Audit Associate, Assurance Associate, or Tax Associate. UK equivalents include Assistant Accountant, Accounts Assistant, and Audit Trainee/Senior; in Canada, postings often say Staff Accountant (CPA Stream) or Articling Student. If your internal title was unusual, add a recognized equivalent in brackets — e.g. “Finance Officer (Staff Accountant)” — so searches still find you, and use the posting's exact title in your headline where it truthfully describes your work.

Not for entry — the BLS lists a bachelor's degree as typical entry-level education, and only accountants filing reports with the SEC must be licensed CPAs. But designations move you up recruiter shortlists, and public accounting firms expect visible progress toward one. In the US, from 2026 most states offer a bachelor's-plus-two-years pathway alongside the traditional 150-hour route. In the UK, the ACA (ICAEW) and ACCA are the standard firm-track qualifications; in Canada, CPA Canada's PEP program and the Common Final Examination (CFE) are the route. Name your designation and stage exactly — ATS keyword matches are literal.

Attach numbers to scope, volume, and outcome. Scope: entities, subsidiaries, or accounts you closed (“month-end close for 3 entities, 25 reconciliations”). Volume: transactions, journal entries, returns, or engagements (“120+ returns in CCH Axcess,” “9 audit engagements”). Outcome: days cut from close, error or review-note rates, dollar amounts of adjustments or credits identified. If exact figures are confidential, use honest ranges (“$50M+ revenue client portfolio”). Recruiters often search tool names and process terms together, so pairing “NetSuite” with a measurable close improvement makes the same bullet do double duty.

The most common causes are missing exact keywords, generic bullets, and formatting that parses badly. If the posting names NetSuite, SOX 404, and month-end close and your resume says “ERP systems” and “closing duties,” a keyword search may never surface you. Duty-only bullets (“responsible for reconciliations”) give recruiters nothing to differentiate you in a six-second scan. Tables, text boxes, and graphics can scramble parsing in older ATS configurations — use a clean single-column layout with standard headings. Finally, check credential phrasing: “CPA candidate — 2 of 4 exam sections passed” matches searches that “pursuing certification” does not.

Be specific and truthful — vague phrasing wastes a high-value keyword. Formats that work: “CPA Candidate — passed FAR and AUD; REG scheduled Q4 2026,” or “CPA eligible — 150 credit hours completed,” or under the new state pathways, “CPA Candidate — bachelor's + experience pathway (exam in progress).” In Canada: “CPA PEP — Core modules complete; CFE scheduled May 2027.” In the UK: “ACA — Professional Level, 9 of 15 exams passed” or “ACCA Part-Qualified (6 of 13 papers).” Put it in your headline or credentials line, not buried in education. Never write “CPA” alone unless licensed — firms verify, and misstating licensure is disqualifying.
